Terms of Service
These terms cover your use of GalleryVault, the online event photo gallery service run by GalleryVault. By creating an account, buying access or uploading photos, you agree to them.
What GalleryVault does
An organizer creates an event and shares a QR code or link. Guests open it in their phone's browser, enter a display name and upload photos, with no account needed. The organizer moderates what appears: photos appear as guests upload them unless the organizer turns on review, and the organizer can hide any photo. Guests can view and download the photos that are not hidden when the organizer allows it, and the organizer can view and download all of them. Photographers can also create private client galleries and a public portfolio made of images their clients agreed to show.
Accounts
Organizers and photographers sign in through WorkOS AuthKit, with an email address or a Google account. You are responsible for what happens on your account and for keeping that email or Google account secure.
Guests do not need an account. Anyone who has a gallery's link or QR code can use it with that gallery's current permissions, so share it only with people you want to have it.
Photos only
GalleryVault accepts photos in JPEG, PNG, WebP or AVIF format, up to 500 MB each. Video and audio are not supported. We store each photo as a re-encoded copy in the same format and resolution, with metadata such as camera details and GPS location removed. Downloads are full-size copies, not byte-identical files.
Your photos and your responsibilities
You keep ownership of the photos you and your guests upload. You allow us to store, process and display them only as needed to run the service for you: making previews, showing them to the people you share a gallery with, and providing downloads.
Upload only photos you have the right to share. Do not upload anything illegal, anything that infringes someone else's rights, or any sexual content involving minors. As an organizer you moderate your gallery and decide who it is shared with. For a public portfolio, you confirm that the people shown agreed to it.
We may hide content and suspend accounts that break these rules, and we report illegal material where the law requires it.
Purchases
Event purchases and 30-day studio passes are one-time payments and never renew. Prices are set in US dollars (USD). Depending on your card or country, Dodo Payments, our payment provider, may charge you in your local currency instead, converted from the USD price at its exchange rate, which can include a conversion fee; checkout shows the amount in your currency before you pay, and your bank may add its own fees. Taxes may be added at checkout depending on where you are.
Photographers can instead choose a monthly studio subscription. It is charged when you subscribe and then automatically every month, at the USD price shown when you subscribed (charged in your local currency where Dodo Payments converts it, as above), until you cancel. If we change our listed prices later, an existing subscription keeps renewing at the price you subscribed at. You can cancel at any time from your studio panel; cancellation takes effect at the end of the month you have paid for, and access continues until then. If a monthly payment fails, access is not extended until the payment goes through; update your card from the studio panel. When a subscription ends, viewing and downloads pause and your photos stay in the archive. While a subscription is active, you cannot also buy a studio pass, and while a 30-day pass is running you can subscribe once it ends.
If you move your subscription to a more expensive plan, it applies right away: the new plan is charged at its listed USD price at that time, less a credit for the unused part of the current month, and a new monthly period starts that day. If you move to a cheaper plan, nothing is charged that day: you keep your current plan until your next renewal, which is then charged at the new plan's listed USD price. Each plan's price then applies to its renewals. You cannot move to a plan smaller than the photos you already store.
Dodo Payments is the Merchant of Record for every purchase: it processes the payment, handles taxes and issues your invoice or receipt. Your card details go to Dodo Payments and never reach GalleryVault. Refunds follow our Refund and Cancellation Policy.
Storage, access periods and grace
A purchase gives you storage and time. Guests can upload during the upload window. For the paid access period, the organizer can view and download the photos. Guests can view them when the organizer allows guest viewing, and download them when downloads are also allowed; photos the organizer hid or has not yet approved are not shown to guests. A 30-day grace period follows, in which you can still buy an extension.
When access ends, viewing and downloads pause. The photos stay in our archive, so an extension bought during the grace period brings them back into view.
You can move an event's date once for free by writing to us, as long as the event hasn't started yet or no photos have been uploaded to it, and its upload window is still open, to a new date within two years of your request; its upload window and access period move with it. Refunds always follow the earliest start the event has had (a date change never restarts the refund window), judged by when your email reaches us. See our Refund and Cancellation Policy.
An event may use up to 50% more storage than purchased. If that extra storage has not been paid for by the time uploads close, the remaining viewing and download period is halved.
Availability
We work to keep GalleryVault running and your photos safe, but the service is provided as is, without a promise that it will always be available or free of errors. Keep your own copies of photos that matter to you.
Liability
As far as the law allows, our total liability for any claim connected with the service is limited to the amount you paid for the purchase the claim relates to. Nothing in these terms limits consumer rights that the law does not allow us to limit.
Stopping
You can stop using GalleryVault at any time. To have your account and galleries erased, write to us as described in the Privacy Policy. We may suspend or close accounts that break these terms.
Changes and governing law
We may update these terms. The new version will be posted on this page with a new date at the top. These terms are governed by the laws of the operator's place of establishment.
